She is the CEO and co founder of one of my favorite PMS tools, Hostfully, and she's going to talk to us a little bit about what they've had going on for the last few years. If you're not familiar with Hostfully yet, then we'll do a little RE intro. We have done a podcast episode before with her which was a few years back. So if you haven't listened to it, go back and listen to it. But we're going to interview her again today. I'm, as always, your host, Avery Carl. And how, how's it going, Margo? [00:00:58] Speaker A: It's great. So happy to be here again. [00:01:00] Speaker B: Yeah, thanks so much for coming on. [00:01:02] Speaker A: Yeah. [00:01:03] Speaker B: And you said you're sitting in your short term rental in Sonoma right now? [00:01:06] Speaker A: Yeah, we have a short term rental in Windsor in Sonoma County. We rented out not a ton because we actually also come out here with our family a lot. I have three kids and my husband and we're in a little bit of a smaller house in San Francisco. So this is our oasis away. But also we rent it out in between as well. [00:01:24] Speaker B: Well, awesome, awesome. So let's just kind of reacquaint our audience with you for maybe we have some new listeners since the last time we had you on. So tell us a little bit about you and Hostfully. [00:01:36] Speaker A: Yeah, so yeah, I'm the CEO and co founder of Hostfully. Hostfully has been around since 2016. We were originally known for our digital guidebooks product and, but since 2018 we've been working on our PMS. And we are one of the very few companies in the world that have the preferred partnership with Airbnb, Booking.com, verbo and Google and also Marriott. And so if you're looking, you know, to shop for a pms, we really focus on customers that are a little bit more on the small side. We really, our sweet spot is kind of property managers have anywhere between one and maybe up to 200, 300 properties. And we, yeah, we've been around for a while. So Hostfully is A global team, but we focus mostly on property managers in the United States, Canada, Mexico and Europe. We do have customers in about like 85 countries or something like that, but most of our focus is there. [00:02:32] Speaker B: Wow, okay, so between one and two or 300 properties, it's not a wide range. For most of our audience, it's a wide range. [00:02:41] Speaker A: But you know, what we're really focused on is the property manager that really wants growth. And growth can mean different things, right? It can mean growth of your property count or it also can be growth of like the way that you're operating your business to be make it more profitable. One of the reasons why property managers love joining host fleas because we give you a lot of optionality and choices about how you configure your, your short term rental so we don't kind of force you down one path. But we, we really focus on the smaller scale property manager and then we help them grow. So like our happiest customers are the ones that started with five and now they have 200. And so that, that's why we talk about that range. [00:03:19] Speaker B: Gotcha. Yeah, amazing. So when people are looking at all of the different PMS options, because that's one of the biggest questions we get from our clients is okay, which PMS tool do I use? So what are some, a lot of, I mean, those people that are new, they don't even know what to ask or what to look for. So what would be your advice to them when they're out there shopping for [00:03:42] Speaker A: which PMS they're going to use? Yeah, well, I always like to look at what companies and people do or people do instead of what they say. Unfortunately, in our industry, and like many industries, there's a lot of talk, right. And there's a lot of words thrown around. And especially if you're new to the industry, you can get really overwhelmed with the terminology. And you can feel overwhelmed because even if you are asking the right questions, which I'll go through in a minute, you'll hear a lot of the same things. One of the things that I really value and is the reason why I'm still the CEO of Hostfully today is a lot of integrity. And so Hostfleet is a very high integrity company. When you talk to somebody on our sales team, you're going to get the honest truth. And we will even talk to customers about how Hostfully is not the right fit for them if they have things that they want out of the software that we can't offer. It's becoming less and less so because we're building out our software platform. But just to be honest with you, we really want to find the right customers for Hostfully. So what I would do is definitely look at the review sites. You can look at review sites like trustpilot, Capterra, there's a bunch of them out there you can look and see. What do people say about how it is to really work with these software platforms like Hostfully? That's going to be a really great starting point. You can also talk and listen to people like you influencers in the industry about who was on their podcast. What are these people saying? That's a really great source. And then finally you have to take a look inward actually to know what your own needs are. So like what do you really need out of property management software? Some people want a whole all in one solution that has everything under the sun built into it. Other people want a little bit more choice. Some people want something that's like, like you said, built for larger scale property managers and some people want something that's built for smaller scale property managers. And hopefully we focus, like I said, on that smaller segment that really wants to grow. And one thing we've done this year is made a huge, huge investment in our product. So we've made some really big changes. We've launched and we launched last year like a home automation devices product. We have a, an insurance product that you can buy built into the, our pms. Now we also are, by the time this episode goes live, we're going to have an AI product and an accounting product which is really exciting. So we're able to offer a pretty good solution for that smaller scale property manager. And our competitors are also doing that. So here's where it gets really tricky for people when they're shopping, right? Like you got to ask detailed questions and really get them, get the sales team that you're working with a chance to show you exactly how it works and show you the details. How are they going to onboard, how are you going to configure it, really get into it. So that's, that's the needs analysis piece that's very important. [00:06:21] Speaker B: Okay, so you just named off four or five points of things that you guys are doing that I want to take a deeper dive into each of them. So, so you, right before, what was the first one you said right before? Insurance. [00:06:33] Speaker A: The first one is home automation. So if you want. Yeah, if you want. So we have a nest here in this property and we also have Google Home, actually an apartment in San Francisco too. So if you want to be able to manage like your H Vac and your remote locks remotely, and I know that a lot of your listeners really want to be able to manage the properties from afar home automation, you have to have software that's going to coordinate that for you. And so with hostfully that we have a white labeled, what's called hostly devices and we have a white labeled solution to be able to manage all of those things that's integrated with the pms. So when you get a reservation there's like automatically a lock code created. You can send it to the device that's at the rental and make sure that the guest gets what they need. [00:07:12] Speaker B: Oh, that's great. So that what all devices does that work with? So your smart lock and your smart thermostat, Ring cameras, anything. [00:07:23] Speaker A: Yeah, it's actually a platform that's pretty broad. Yeah, definitely ring cameras. I think like Simplisafe, like security stuff as well too. But mostly people use it for locks and H vac. Yeah, yeah. [00:07:39] Speaker B: So I've noticed what a lot of people don't pay attention to on their H vac when they have a digital remote, H vac, wireless H vac, they don't look at. My husband looks at this all the time. Every now and then he'll look at, okay, what does the guest have it set on and what is the actual temperature of the house? Because that's how he keeps up with. Okay, is this about to break? [00:08:01] Speaker A: Yeah. [00:08:01] Speaker B: And are you able to kind of monitor that through there? [00:08:05] Speaker A: Well, I mean, I actually don't know but what. It's actually a brilliant idea that you need to have both the thermostat and also like an independent temperature gauge. Right. You could do that actually with it. I believe you could do that within host fleet devices. I'd have to check. Yeah, that's, that's really smart. Yeah, one thing. Well also what we've done is like you can like hard set the boundaries. So if they can't get it done with like with the thermostat, then they're going to call you because they're like, I said it this, but it's not working. You know what I mean? So you'll get that feedback live too. [00:08:37] Speaker B: Yeah, gotcha. All right, now the insurance part because that's very interesting in how the PMS tool would have an insurance functionality. What's that? [00:08:47] Speaker A: Yeah, it's actually called damage protection. I'm not allowed. It's called insurance. So just if you heard me say insurance, let's just like pretend I never said that, but it's no big deal. It's. It functions like an insurance insurance program. So what it is, is it's a fee that you can apply to the rental when the guest makes the booking, and it's usually a per night fee. And then you get damage protection for the rental for that time period. And it works great because you get the. You can file a claim really quickly and you can get the money really quickly compared to if you work with the bookings platform or platforms like the OTAs. So it's like four to five days for payouts and then the claims filing process just takes like 48 hours or something like that. [00:09:34] Speaker B: Okay. And would this just be for damage type stuff or what? What would you use this for? [00:09:39] Speaker A: Yeah, anything. Damage to your property. It's not a liability program, so it doesn't cover like property liability, but it cover. It covers up to a certain amount of damage. I believe it's $50,000 of damage for the property. And so it just kind of. It's like a, it's coverage program. And then you don't have to worry about like having your rental be down for, you know, weeks or months while you're, while you're waiting for some claim to be handled by Airbnb. Yeah. [00:10:08] Speaker B: Yeah. We just listed a property for a client who is. Routine repair would have taken 48 hours, but rather than just get it fixed, they filed an insurance claim and then. And it was in the middle of high season at the beach, and so they missed all of June and July waiting on that to be done. It cost them a lot more money than it would have to just fix it. So that, that timing piece is, is key there. [00:10:36] Speaker A: It's huge because you don't get the money from the lost opportunity. Revenue opportunity. Right. So it's really annoying. Yeah. Yeah. Also, you know, it just, it's. It's so stressful when any sort of damage happens because you spend like a day or two trying to figure out what the heck happened. Right. [00:10:51] Speaker B: Yeah. [00:10:52] Speaker A: So you really are like two weeks down no matter what you do. But this helps you get more of a shortcut to getting the money back quickly. Yeah. [00:10:59] Speaker B: Okay. And I don't know how much you monitor the back end of that, but do you see a lot of traffic on, on claims there? Because in my experience in our properties, 10 years, like, I don't think we've ever. I don't want to say this out loud, but I don't think we've ever filed a damage claim or really even had Something to file a damage claim about. [00:11:17] Speaker A: Yeah, I think it really depends on the markets that you're in, Avery, because I think your properties are in. Are in Florida, right? In, like, vacation rental land A little bit more. Right? [00:11:27] Speaker B: Yeah. So the Smokies and then Florida, but all very, very definitely vacation rental land. [00:11:31] Speaker A: Yeah, exactly. I think that property damage happens a little bit more in urban markets when. [00:11:36] Speaker B: Okay, gotcha. [00:11:37] Speaker A: Interesting. The overflow of, like, hotel stays, you know, that are staying in short term rentals, and they just don't really know how to, you know, stay very. But also the. The party houses, you know, like. Like, if you're. If you have a place that's, you know, hosting part, like, bachelor bachelorette parties kind of thing, I hear about having more there. I don't actually know of the number of claims filed, but I know that the payout rate is like 99%. So, like, it covers a lot, which is really nice. So you end up passing that. That fee onto your guests. But it's kind of a fair moment. And I do have to tell you that, like, I highly recommend property managers to do it up front. Like, bake it into the price at the start. Oh, hello. Bake it into the. Bake it into the price. Because last weekend I stayed at a short term rental in Minneapolis. I went there to visit my family, and I was kind of slapped with, like, this damage waiver as a surprise in order to get the check in code. And it was a terrible guest experience. Do not recommend that. My husband was gonna freak out, and I was like, I'm just gonna contact them and tell them that's a bad idea. Yeah. Oh, man. [00:12:56] Speaker B: All right, so what was number three? After insurance, you did five things. Let's go to point three. [00:13:01] Speaker A: Yes. Okay, so we. Well, I think I did four. [00:13:06] Speaker B: Maybe it was four. [00:13:07] Speaker A: Yes. Okay, so the next one up is going to be accounting. And oh, my gosh. Accounting is such a bear. When your business starts to grow, you need to do the. All the owner statements and make sure that all of the divisions that you need in your business are lined up so that you can do all the reporting. Maybe you have regulatory stuff going on. Maybe you have different tax rules. So much of a range of variables that property managers need. And we are so excited to be launching an accounting solution that is really amazing. It's a trust accounting solution as well. So we're really excited to be rolling that out. [00:13:44] Speaker B: Cool. So when you say accounting, like, let's deep dive into that a little bit more. So what does that exactly mean? Is this like just the books of each property or how does that all work? [00:13:58] Speaker A: Well, so you still want to be using something like QuickBooks or Xero to be doing your bookkeeping. But what we found in short term rentals is that the trust accounting layer and being able to slice your inventory the way you need it to, depending on if you own the property or you have other owners you're working with it, it's just highly variable. And so what this does, it kind of sits as a layer on top of your bookkeeping software to allow you to do all the financial reporting and management of your finances at that more short term rental oriented layer. You know what I'm saying? Yes. [00:14:33] Speaker B: That's really nice too. And last, I believe you said AI. [00:14:38] Speaker A: Yeah, yeah, AI. So how wonderful would it be to not have to respond to guest messages in the middle of the night? Or if a guest has a question about something that you already have, maybe in your digital guidebook or in your pms, wouldn't it be great if it could just answer based on the things that they should already know? That's what the AI platform will do for you. So it actually looks at sentiment, it looks at past chat history, it looks at all the information in your digital guidebook, all the information in your pms, and it can react responsibly with your guests and handle about 95% of those guest communications. And what we, what we're excited about is that the AI will handle those kind of more regular questions. And then you as the host can jump in when it's really important, like if you have an emergency or if there's a special situation you want to manage, or if you want to have a personal touch moment, you can, with the guests, you can do that. You also can automate it with the AI too. But it's, it's really awesome. [00:15:34] Speaker B: Awesome. So if you have it, if you have this AI rolling, does it alert you when it doesn't know something? Or maybe it's escalating to a point where you need to jump in? [00:15:44] Speaker A: Yes. Yeah, it will tell you, it will like flag things for you, but like I said, it handles most of the guest communication on its own. And then you can also monitor and jump in at any point too. So. Yeah, but because of the sentiment analysis in there, it can tell you when things are going wrong. Actually, that was my biggest complaint with this rental that I stayed at. We had a bunch of pretty serious complaints. Like the smoke detector went off and we couldn't get it to turn off. They said they were going to send the maintenance person. But they didn't. I have kids. And I was like, we can't sleep in this place when there's like a very loud alarm going off. And so we wrote to them and we said, there's all these problems and you know, like, can you send somebody? Fine. They said they'd send somebody and then nobody came. And then at the end of the rental, this was the worst part. They're like, sounds like you had a great stay with us. If you could leave us a five star review. That was a moment for AI. [00:16:31] Speaker B: Oh gosh. [00:16:33] Speaker A: Like if you just scan through the messages, it's like very clear that there were some big issues. So, yeah, it was a big mess. I had a lot of notes for my team. [00:16:46] Speaker B: That's so helpful though, sometimes when you, as somebody who runs a business in this space has a bad experience at a short term rental. And I would, honestly, I've had several and I would never give anybody less than a five star review just because I don't like to put that out in the universe as somebody who operates on reviews myself, but I'm like, dang, like, let's make sure that none of our properties are, are ever like this. And actually the most recent one was in Orlando. We were going to Disney World and then one of my kids was gonna play a tennis tournament a little bit outside. And so we're like, let's, let's get a vacation rental and see how this goes. And we have an office in that market. I know all the neighborhoods and stuff. And we booked one that looked great. And we got there and the neighborhood was not great. There were broken windows, there were a bunch of cars parked in the yards and things. And we didn't stay there. I didn't even go in. [00:17:40] Speaker A: Oh, really? You were like, nope. [00:17:41] Speaker B: Yeah, I told my husband, I was like, just get our money back. And we couldn't get our money back. But I was like, I'm not staying here. I'm not comfortable. So we just lost our money on that one. [00:17:52] Speaker A: Yeah. You know, I wrote this thing a while ago about how it's, it's easy as an operator to forget how much anxiety people have when they're traveling. It's. It's okay. I mean, anything new is, is anxiety producing. Right? When you land in a new place and you don't know where you are, you don't know if it's safe, if you have your kids, it's even compounding the issue. Like it's you. We, we have to be so like precious with the way that we think about each stay, because it is really precious. It's a new experience for a person. They've never been in that house. They've never been in that bedroom. Maybe they haven't worked that TV before. Right. So it is like a. There needs to be a lot of care put into the guest experience. You know, hostfully has had digital guidebooks since the very beginning, so that's something we've cared about. And, and I think we need to do better, actually to evolve our product to, to, to service this, like this important part of vacation rentals. But I love how much you've been talking to your listeners about the guest experience, because I think, I think it's really where property managers need to focus and differentiate at the end of the day. [00:18:51] Speaker B: Yeah, totally agree with that. And a guidebook, the digital guidebook really is the best way to say set expectations because they get that before they ever get there. So you can answer a lot of questions and make sure there's no surprises before they get there. And then there's a surprise and then they're upset. So digital guidebooks, like the, the best way to get ahead of all that. [00:19:11] Speaker A: Totally. And, and also just get your, like, automated messaging down really well too. Right? Like, just say it like, like imagine if that rental that you stayed in, they were like, hey, just so you know, like, this neighborhood is a little bit mixed. Like, really excited to welcome you. But, like, this is what you need to do for your security. You would have reached out ahead of time and it just would have been better for everybody. Right. Because, like, another person who's not so nice would have given them a one star review and bounced out. [00:19:34] Speaker B: So, yeah, I thought about it because they were, they were real sticklers on it. And I'm like, guys, I can't. I can't bring my kids here. Yeah, there's broken windows in the neighborhood that are like, not fixed. It's not like, oh, this. There was one, you know, somebody. A golf ball went through the lawn. Lawnmower and hit the window. It was like several. [00:19:52] Speaker A: Yeah. So, yeah. Yeah, we had a, an issue in the last one too. Like, laundry is really important to us as a family because. [00:19:59] Speaker B: Yes. [00:20:00] Speaker A: I force my kids to just like, we all have like a little tiny carry on and we travel really light, so we do laundry everywhere and the laundry ruined our clothes. Oh, no. So bad. Again, my husband's a laundry person and he was not happy about it. And so, you know, these little things can make such a huge difference. Right? It's really tricky situation but it's all about that expectation setting. Make sure that you know your, we call it your icp, your ideal customer profile. Make sure you're developing a guest experience and communication suited to them. And then you got to run all the business stuff in the background. And that's where hostly really we like to help a lot but the guest experience is so important. [00:20:37] Speaker B: Yeah. So that kind of leads me into my next question where I see people fail the most when they're using property management software, pricing software. We'll take Price Labs for example or Wheelhouse or Beyond pricing, whatever they're using the. When people come to me and they say oh I'm not making money, can you take a look at my property and help? And so I'll take a look and I'll say well what's, what are you doing with price labs? Or I'll say how's your pricing? And they'll say I don't know, Price labs does that for me. And I'm like well no, no, you have to manage price labs. So let's start here. So I think sometimes people think when they're using property management software, revenue management software, that they're just going to hook all this up to the property and they're going to sit on the couch and eat donuts and it's going to print money. So what should the expectation actually be of a PMS tool? [00:21:28] Speaker A: Yeah. So the first thing is you have to put the energy into the onboarding and implementation process. Like the configuration is so important and I wish that we could make a PMS that was just like a push the button and it starts and runs your business for you. But the reality in the short term rental industry is that everybody has different kinds of industry, different or I'm sorry, inventory. Different types of guests that are staying at the, at the, at their inventory, different seasons. So one thing that I like to say is like the effort that you put in is what you're going to get back from the software. You know, pricing is a great example but the same thing for hostfully you got to set up your communications. You got to set up like how your, all the property data that you need to make sure goes to the right OTAs. Like there's different configurations you can do in different OTAs. Like make sure you have a barbecue listed in this way on that one OTA and a hot tub listed on another OTA the certain way. But then the other thing, I've been adopting this idea and I think it works for myself and I think it actually works really well for property managers too. Divide up the year into kind of micro seasons so it doesn't feel like such a grind. Right. Like we can't always be on top of everything. It's just overwhelming. But maybe you can say, hey, during this slow part of our season, maybe it's in September, because this is oftentimes a slower part of property. Short term rental seasons, we're going to look at software and we're going to dive into it and make sure we're getting everything out of the platforms that we're using. And then maybe there's another season where you're like, you know what software is going to go on autopilot or pricing is going to go on autopilot because I'm so busy with all the operational and maintenance loads that I need to handle this high season for myself that I'm just going to put it on the back burner per watt for a little bit and then revisit it. So I would like recommend breaking up the year into like six to eight micro seasons and then working with your team to really figure out where you want to focus. But it is also about that first impression of working with the platform. Like hopefully we give you unlimited basically onboarding calls, we have some group calls and then we give you access to an onboarding person who is going to help you. We also have a really great AI and I talk about that when it comes to media, social support and success because our customers sometimes will request the AI over a person because it's so fast and so responsive and we have amazing support team. This is probably, if you read about hostfully in the reviews, you're going to hear about our support and success teams. They're, they're really world class. But we always put that energy into making sure our customers are successful. We like our customers to also put the same energy into and if they don't, it's much more likely that they're going to be frustrated. Yeah, yeah. [00:24:07] Speaker B: You got to put the effort in. [00:24:09] Speaker A: Yeah. [00:24:09] Speaker B: Nothing is passive, Nothing is, is, requires no work. It's easy work. In my opinion, it's better than ditches. But it's still, you know, you got to stay on top of things. [00:24:18] Speaker A: Yeah. And if you get started in the right manner, you can be really successful. But if you get started poorly and you sort of, you know, crawl your way up to being successful, it's going to be a much harder path. So it's just better to put the investment in up front. Yeah, totally. [00:24:31] Speaker B: Agree with that. So, Margot, we're getting to the last few minutes of the show. Is there anything about hostfully over the last few years since our last episode that I didn't ask that you want to make sure that our listeners are aware of and hear about? [00:24:44] Speaker A: Yeah, well, I think it goes back to some of the things we were talking about before. We are going through a huge transformation this year and this quarter. We're launching more new stuff than we've ever launched ever in the history of the company. I am so excited. I'm actually here in Sonoma with my management team this week and we're talking about how we're going to really make the most out of all of the stuff we're launching with our customers. It's a really exciting time. What I would love your listeners to hear from me is that this company is really transforming into being a much more strong software platform. We've always been known for our service, for our customer support and customer service and also for our high integrity. And in the coming year you're going to see a tremendous amount of innovation and real amazing work that our product and engineering teams have done to provide more of an all in one solution for property managers than we've ever done before. [00:26:00] Speaker A: No. [00:26:00] Speaker B: What advice would you give 20 year old Margo if you knew then what you know now? [00:26:05] Speaker A: Oh, don't stress and just like just live your fun life and take the opportunities as they come. I, I've lived life in a spiral way. Like I have not come at anything straight on and I'm so grateful for that. I've lived several lives and I'm. I would never go back and do it again. I'm so grateful that I've been able to do that. Yeah. [00:26:27] Speaker B: All right, great advice number two. What advice would you give a new short term rental investor who's getting started today? [00:26:34] Speaker A: Talk to other short term rental investors, listen to shows like yours, really dive into the industry and hear what people have to say. Also, this is a very durable industry. There are ways for you to be successful. You just have to figure out how to do it. So be optimistic. Yeah. [00:26:57] Speaker B: All right. Great advice. And last, what's your favorite book that's impacted your mindset? [00:27:03] Speaker A: Oh, my gosh, so many books. I really like this book. I think it's called the Unseen World by Ed Yong. And it's a book about how humans have only certain ways of sensing the world. We have touch and we have sight, but we only see three different colors. And we have smell, our five senses, we have taste, whatever. But there are other animals that have totally different ways of seeing the world. Bees see electrical fields around flowers. Dogs and snakes have infrared sensors on their faces and mouths so they can feel heat. You know, even animals that are, like, listening in a different way, like the sonar under the ocean. I love the reading books that kind of expand my mind to, like, the different ways that the world can be experienced because I find that it reminds me that we are all living our own independent experiences. And it's so easy to get in our own heads about this is the way things are and everybody thinks this way when in reality, like, your existence and mine are just. They are very different. But the more we can do to, like, learn about them, the more fun the world is. So I don't read business books. I read a lot of, like, biology and fiction. [00:28:20] Speaker B: Oh, nice. [00:28:20] Speaker A: Biology books. [00:28:21] Speaker B: Haven't had one of those recommended on the show yet. [00:28:24] Speaker A: Okay, I hope I got the name of the book right.
